Position Overview: We are seeking a candidate who will be dedicated to Calder’s prospecting outreach. In this role, you will manage our CRM and oversee our lead generation and mailing campaigns. While you will work with a team, this role is best suited for someone who enjoys working independently, is detail-oriented, is organized, and thinks critically and creatively about marketing messaging.
Key Responsibilities:
- Mailing Campaign Initiatives:

- Conduct thorough research on Google or company websites to gather accurate addresses.
- Select prospects based on specific industry and geographic criteria to ensure targeted campaigns.
- Manually verify the accuracy of the addresses.
- Utilize industry-specific templates, press releases, or materials signed by specific advisors for tailored communication.
- Regularly update and customize templates based on feedback and the latest data analysis.
- Collaborate with staff for feedback and approval of new materials, ensuring alignment with company standards and campaign goals.
- Prepare mailers and mail them out to prospects.
- Ensure proper setup and execution of automated follow-up emails, with timing and content determined in collaboration with other team members.
- Work closely with the data analytics team to track and measure the performance of campaigns using metrics such as open, click, and response rates.

- Source and qualify prospects using online databases like Pitchbook, Reference USA, and Sourcescrub.
- Apply a criteria list based on industry and geography to prioritize and manage prospect lists effectively.
- Oversee and train a team of interns, ensuring accuracy and adherence to guidelines.
- Conduct weekly reviews of interns' work to ensure accuracy and adherence to guidelines.
- Provide timely feedback to interns via in-person meetings or email, focusing on areas for improvement.
- Utilize tools and databases such as Pitchbook, Reference USA, Sourcescrub, and industry lists to pull raw lead lists.

- Regularly review and update automated CRM campaigns to ensure they reflect the current market trends and verbiage.
- Perform routine data maintenance to ensure CRM records are accurate and up-to-date, including verifying contact information and removing outdated entries.
- Implement data cleaning processes to identify and eliminate duplicate entries, ensuring the integrity of the CRM database.
- Remove duplicate entries from the CRM to streamline data and prevent redundant communication efforts.
- Conduct thorough audits of emailing lists to verify the accuracy of information and ensure email domain compliance.

- Lead Claiming:

- Oversee the lead claiming process within the CRM, ensuring advisors promptly and accurately claim leads.
- Ensure advisors provide comprehensive notes and updates on lead interactions, documenting all relevant information in the CRM.
- Implement procedures for regular reviews and audits of lead claims to ensure timely and accurate reporting.

- Networking Email Campaigns:

- Leverage the CRM to organize and manage contacts for targeted networking email campaigns.
- Liaise with advisors to populate their networking automation campaigns.
As time allows, collaboration with Calder's Continuous Improvement Director will constitute a portion of this role. All sub-tasks will come second to the main tasks named above and will fall within the realm of prospecting.Â
Hours:
- Full-time 40-45 hours per week expected.
- This is a Hybrid positionÂ
- When opportunity knocks, the expectation is that the entire team is ready to react. This may mean some work at night or on the weekends. This work does not necessarily have to happen at the office and can often be done anywhere there is an Internet connection.
Compensation:
- Base Salary: $50,000 - $60,000, paid monthly via direct deposit.

- 6% employer match 401k after 6 months of employment
- Health Insurance with 50% premium covered
- $150/month parking stipend leading to fully-paid parking as spaces become available.

- Data Entry: Proficiency in entering, updating, and maintaining accurate data records within CRM systems.
- Organization: Excellent organizational skills to manage multiple tasks and projects simultaneously, ensuring timely completion and adherence to guidelines.
- Communication: Strong written and verbal communication skills for drafting tailored communication materials and providing feedback to interns and team members.
- Tech-Savvy: Comfortable using various online databases and CRM software; ability to quickly learn and adapt to new technologies and tools.
- Team Collaboration: While this role requires independent work, the ability to collaborate effectively with upper-level staff, advisors, and the data analytics team is essential.
Experience:
While experience is not required, it is highly desirable in the following areas:
- Data Entry & Organization: Previous experience in roles involving data entry and organization. Examples include positions such as insurance data processor, law office assistant, teacher, or similar.
- CRM Systems: Familiarity with CRM systems and data management.
- Related Roles: Experience in roles involving mailing campaigns, lead generation, or database management.
